1. Information We Collect

When you use our services, we may collect the following information:

• Google account information you provide when signing in with Google, such as your name, email address, and profile image
• Application-related information necessary to deliver BoothIQ services (e.g., event data, uploaded files, and device information)

We only request the minimum Google OAuth scopes necessary for the operation of our app.

2. How We Use Your Information

We use your information to:

• Provide, operate, and maintain our services
• Authenticate your identity and manage your account
• Improve functionality and user experience
• Communicate with you about updates, security notices, and support

We do not sell or rent your information to third parties.

3. Data Protection Measures

We use industry-standard security measures to protect all personal and sensitive data:

• Encryption in transit and at rest to protect data from unauthorized access
• Access controls so only authorized personnel can access sensitive data
• Secure cloud infrastructure with regular security audits and monitoring

We do not share Google user data with third parties except:

• When required to operate the service (e.g., secure hosting, analytics)

Any third-party service providers are contractually obligated to protect your data and use it only for the services we request.

BoothIQ uses access to Google user data solely to provide the features described in this privacy policy (sending follow-up emails you compose through Gmail, and creating calendar events you initiate through Google Calendar). In addition, BoothIQ's use of Google user data adheres to the following restrictions:

• We do not transfer Google user data to others unless it is necessary to provide or improve the features described in this policy, you give us your consent, or we are required to do so for security or legal reasons.
• We do not use Google user data to serve advertising, including retargeting, personalized advertising, or interest-based advertising.
• We do not allow humans to read Google user data unless you have given us your affirmative consent, it is necessary for security purposes (such as investigating a bug or abuse), it is necessary to comply with applicable law, or our use is limited to internal operations and the data has been aggregated and is no longer personally identifiable.

5. Data Retention and Deletion

• We retain Google user data only for as long as necessary to provide our services and fulfill the purposes described in this policy.
• You may request deletion of your account and associated data at any time by contacting support@getboothiq.com.
• Upon receiving a deletion request, we will remove your data from our active systems within 30 days. Backups containing your data will be removed within 90 days, unless retention is required by law or legitimate business purposes (e.g., fraud prevention, dispute resolution).
• If you revoke BoothIQ's access via your Google Account Permissions, we will no longer be able to access your Google data.

• Access the information we hold about you
• Request corrections to inaccurate information
• Request deletion of your data
• Withdraw your consent at any time

7. AI Features and Integrations

How BoothIQ uses AI

BoothIQ uses third-party AI providers (such as Anthropic and OpenAI) to power features like reading text from scanned badges, business cards, and notes, transcribing voice notes, summarizing conversations, enriching contact details, and drafting follow-up emails. To provide these features, we send the data needed for each request to the provider over an encrypted connection at the time you use the feature. We send only the data needed for that request.

These providers act as our service providers and are contractually prohibited from using the data we send to train or improve their AI models. BoothIQ does not train, fine-tune, or build its own AI models, and we do not use your data to train any AI model. AI-generated content (such as summaries and follow-up drafts) is presented to you as an editable draft for your review before it is sent or saved.

Connecting your own AI assistant (MCP)

BoothIQ also offers a Model Context Protocol (MCP) server that lets you connect your account to AI assistants like Claude. When you connect an AI assistant, the following applies:

What data is shared

AI assistants can only access data you already have access to in your BoothIQ account. This includes your meetings, contacts, events, and conversation summaries. Audio recordings, files, and attachments are not shared with AI assistants.

How data is accessed

You authenticate the connection using OAuth. The AI assistant acts on your behalf using a scoped access token. All requests are read-only. The AI assistant cannot create, modify, or delete data in your account.

How data is stored

BoothIQ does not store or log the content of AI assistant queries or responses. Data returned to AI assistants is served from your existing account data and is not copied or cached separately. How the AI assistant provider handles data sent to it is governed by that provider's own privacy policy and terms of service.

Third-party sharing

Apart from the inference described in "How BoothIQ uses AI" above, we do not share your data with AI providers independently: data is only sent to a connected AI assistant when you initiate a request through it. We do not sell or rent your data, and we do not provide your data to any AI provider for training purposes.

Revoking access

You can disconnect an AI assistant at any time through the AI provider's settings. Once disconnected, the AI assistant can no longer access your BoothIQ data.

8. Changes to This Policy

We may update this Privacy Policy from time to time. Any changes will be posted on this page with an updated effective date. We encourage you to review this page periodically.
