How Much Does iCapture Cost? (2026 Pricing, Tiers & Alternatives)

John

iCapture hides its pricing. To get a quote, you fill out a form and wait for a sales rep to call you back.

Users on G2, Capterra, and Reddit say iCapture plans start around $5,000 to $8,000 per year for small teams. Big plans with CRM sync, custom fields, and many event licenses cost $15,000 to $30,000+ per year. These numbers come from users, not from iCapture, and they change over time.

Want pricing today without a sales call? Keep reading. We cover what we know, what each tier includes, and which iCapture rivals post their prices in plain sight.

iCapture Pricing: What Users Report

iCapture’s website lists four plans: Standard, Pro, Enterprise, and Enterprise+. The feature pages tell you what each plan includes. Click “Get Pricing” and a form pops up. No dollar amounts. Just a wait.

We pulled the numbers below from software review sites and user threads in early 2026. Treat them as rough guesses, not quotes. Your real price will hinge on team size, event count, CRM needs, and how hard you push back.

PlanReported Annual CostBest For
Standard~$5,000/yrSmall teams, few events
Pro~$8,000–$12,000/yrMid-size teams with CRM sync
Enterprise~$15,000–$25,000/yrLarge teams, many events, custom fields
Enterprise+$25,000+/yrSSO, API access, dedicated support

These numbers are not verified. Ranges shift across sources and may not match current pricing. Ask iCapture for an exact quote.

One more thing the sales form won’t tell you. A January 2026 Nunify analysis reports iCapture implementation fees of $5,000 to $50,000 in Year 1, stacked on top of the annual license. Per-registrant fees run $7 to $12 per attendee per event. The same analysis describes event managers whose Cvent bills passed $100,000 a year once the add-ons landed.

What Users Actually Say

The price gets worse when you look at the reviews. Cvent iCapture’s Google Play rating sits at 2.6 stars. Blinq, a direct rival, ran a March 2026 competitor comparison and called Cvent LeadCapture the lowest-rated platform on G2 in the group. When a competitor singles you out as the worst, that’s ammo.

Uptime is part of the story. StatusGator has tracked more than 730 Cvent outages, with the most recent acknowledged incident on April 6, 2026. A dead booth scanner on day one of a show is an expensive problem.

Does iCapture Have a Free Tier?

No. iCapture is a paid product. No free plan. No sign-up button. You pick a plan, you ask for a quote, you sign a contract. Read that contract. A November 2025 Trustpilot reviewer said they were billed for the rest of a term on software they never used. PissedConsumer rates Cvent 1.5 stars with matching auto-renewal complaints.

If you want a free lead capture app for trade shows, BoothIQ and Popl both offer free plans.

Does Cvent Own iCapture?

Yes. Cvent bought iCapture in 2022. iCapture still ships under its own name, but the two products share a codebase and a roadmap with Cvent LeadCapture. If you already pay for Cvent, iCapture slots into your event setup with little fuss.

If you don’t use Cvent, that benefit vanishes. You pay full price for a tool built around someone else’s platform. That’s why most non-Cvent booths shop around.

What’s Included at Each Tier

Based on iCapture’s public feature pages (checked in early 2026):

Standard: Universal badge scanning, business card scanning, basic qualifying questions, CSV export.

Pro: Adds CRM sync (Salesforce, HubSpot, Marketo), custom qualifying fields, email templates.

Enterprise: Adds multi-event licenses, user management, deeper reports, lead scoring.

Enterprise+: Adds SSO, API access, a dedicated success manager.

No plan includes AI follow-up writing, voice-to-text notes, or a direct Claude or ChatGPT link. Those live in newer lead capture tools.

iCapture Alternatives That Publish Their Pricing

Eight thousand dollars and a sales call feels like a lot for a badge scanner. Here are the rivals that post their prices in the open.

AppFree PlanPaid PlanCRM Sync
BoothIQYes (AI scanning, voice notes, follow-ups)$499/mo TeamsYes (paid)
PoplYes (limited)Custom quoteYes (paid)
CaptelloNoCustom quoteYes

BoothIQ Teams runs $499 a month or $6,000 a year. You get unlimited seats, unlimited events, and unlimited scans. That’s a sliver of iCapture’s reported Enterprise price. You can start free today. No sales rep, no contract.

Is iCapture Worth It?

Locked into Cvent already? iCapture fits. The tight Cvent link, the custom qualifying fields, and the white-glove support are all real.

Not on Cvent? You pay extra for plugs you won’t use. Most teams at 8 or more events a year save money with a modern AI tool like BoothIQ. It sets up in minutes and grabs more context per lead with voice notes and automatic follow-up.

Here’s the gut-check story. A May 2025 Google Play reviewer scanned leads all day at a $35,000 conference, packed up the booth, and found the app had crashed. “Scanned leads the whole day only to find out the leads never synced.” That’s a five-figure bill for a stack of nothing.
